Employees

Temporary identities for activating Umu-id accounts are sent via e-mail to the department hiring the new employee. In summary, the process will be as follows:

  • URL to the activation information is sent via e-mail to the Directory Coordinator(s) or IT Coordinator(s), and Head of department/equivalent or - if such manager is missing - the deputy head of department or equivalent.
  • The activation information describing how the user should perform the activation is printed on paper and given to the new employee/new affiliate.
  • Activating the Umu-id account will automatically include creation of your email address - typically as syntax {birth name}.{surname}@umu.se. The email address can be changed by the Directory Coordinator.
  • Upon termination of employment, accounts will be active for 30 days after the last day of employment (not applicable for affiliated personnel). Thereafter the account will be deactivated if the employment is not renewed.

Note!

Directory Coordinators can create a new e-mail address before the employee has activated his/her account. In that case the activation will not trigger creations of additional e-mail address.

A person who already has an active Umu-id account - such as former or current students, or people holding a position in another department - does not need to activate their account again. New e-mail address will not be created.

Affiliates

Temporary identities for activating Umu-id accounts are sent via e-mail to the department who affiliates a person. The activation/deactivation process is identical as for employees.

Affiliation of person without Swedish personal identity

Directory Coordinators can replace an affiliated person's temporary identity with a Swedish personal identity when this is available. Updating to a Swedish personal identity prior to employment of the person will preserve the user account with associated permissions and e-mail address.

Students

Information about students are retrieved from Ladok. After the second round of admissions user accounts are created for all newly admitted students. Creation of a new account also generates the student's e-mail address. To activate the user account students have temporary username and password sent by mail to their registered address. Activation information is also available at ITS's Servicedesk. Those who have a Swedish personal identity can also activate user account using the studera.nu credentials.
